Vendor payments
Money paid out of the trust account for this event.
Vendor invoices
Upload the vendor's PDF and its details are filled in for you to check, or type them in. A saved invoice appears under Pending payments as Due. Press Mark paid when it is paid: it asks for the mode, cheque number or whose cash, then adds the vendor payment.
| Invoice date | Vendor | Invoice no. | Due | Amount | Status |
|---|
Pending payments (to be paid)
Money the trust still has to pay. A bill becomes an expense only when you mark it paid. A reimbursement is for money already spent (already counted), so paying it does not count the expense twice.
| To be paid to | Head | Type | Reason | Due | Amount | Status |

Regular vendors
Paid every month or for every path. Add a month with one click; it then waits under Pending payments until it is paid.Add a regular vendor

Cash rules (80G and Income-tax)
- Up to ₹2,000 in cash: 80G deduction allowed. Normal receipt.
- Above ₹2,000 in cash: a receipt is given, but the donor gets no 80G deduction (section 80G(5D)). The receipt says so and it is not put in Form 10BE. For 80G, ask for UPI, cheque or bank transfer.
- ₹2,00,000 or more in cash from one person (in a day, or for one event) must not be taken (section 269ST; the penalty equals the amount). The portal refuses it.
- Write the full name and address (and PAN if possible) on every cash receipt. Donations without them count as anonymous and can be taxed at 30% (section 115BBC).
- Cash payments: not more than ₹10,000 in cash to one person in a day. Above that pay by cheque or bank transfer, or it is not counted as the trust's spending.
- Deposit cash in the bank soon, keep the deposit slip, and record it here. Count the cash in hand regularly and match it with this register.
From April 2026 the new Income-tax Act, 2025 applies; the section numbers may differ. The CA should confirm.

Sponsors
Give probable sponsors the one-page invitation (English, Hindi, Gujarati) with all the sponsorship items and the Chhathi Maiya Seva. When someone books, issue their own numbered letter. Sponsorship gets no 80G; a seva is a donation, so take it on its own receipt and it keeps its 80G.
| Date | Letter no. | Sponsor | Items | Amount | Payment |
|---|
When the sponsor pays, use Issue receipt: it fills in the sponsor's details and puts the letter number in the note, which links the receipt to the letter. Sponsorships are not donations, so their receipts carry no 80G.
